Department Policies Summer 2024 Shrewsbury Recreation Department Special Policies & Guidelines Contingency Policy - Unforeseen Circ*mstances At Shrewsbury Recreation, we prioritize participant and staff safety and satisfaction. We acknowledge that unforeseen circ*mstances may arise, leading to necessary adjustments in our program plans. Please note the following policy: Trip Changes: All trips are subject to change. We will make every effort to inform you in advance, if possible, of any adjustments so that you may plan accordingly. Refunds for Trips: Unfortunately, refunds cannot be granted for any reason, even in cases of unforeseen weather issues. However, we are committed to providing alternative arrangements whenever possible. On-site Activities: In the event of unforeseen facility or transportation issues, we may need to pivot to on-site activities, sometimes at the last minute. Rest assured, we will make these arrangements to ensure an enjoyable experience. Registration Deadlines, Summer Refunds and Enrollment Policy: To ensure an accurate final roster and appropriate staff ratios, the registration process will close on the Thursday of the preceding week. Some vendor programs may require additional time due to their own policies and required paperwork. If you wish to un-enroll your child, and by doing so the minimum requirement for the program or class to run is no longer met, a refund will not be issued. If someone on the waiting list is able to take your spot, you may request a refund minus an administrative bee based on the cost of the program. (See full page of departmental policies.) IMPORTANT: The deadline to withdraw from any summer programs listed in this guide is 2 weeks prior to the start date. After this deadline, withdrawals will not be granted refunds in ANY amount or for ANY reason other than injury or illness accompanied by a doctor’s note. Communication & Expectations: We will send you important information and updates via email. The email blast function through MyRec will be our primary source of communication for program information. We may need to reach you by phone from time to time as well. Please make sure your contact information is correct and up to date and that your household account is set to “active”, or you will miss our messages. If you need assistance with any of this, just give us a call and we can check your account and update it for you! Using email blasts, we will send you any information you may need for an upcoming week of program on the Thursday before it begins. We will include what to bring, where it is held, and a Parent Packet that includes our general policies, pick up and drop off information, and a Behavior Policy. We encourage you to review the Behavior Policy and Shrewsbury Rec Participant Expectations with your child at home before they join us. Swimming, Boating & Life Jackets: Swimming activities in open water (ponds, rivers, ocean) subject us to following a Massachusetts State law called Christian’s Law. This law indicates that every child must be swim tested at the Red Cross Level 3 standard before entering the water. If they do not pass the swim test, or do not take it, they are required to wear a PFD (personal floatation device), or “lifejacket”, while swimming, without exception. PFD’s must be worn during all boating activities. *NEW THIS YEAR: If your child requires a PFD for swimming, YOU MUST PROVIDE a US Coast Guard approved PFD for programs and field trips or they will not be allowed to enter the water. You are welcome to leave it with us for the week and bring it home on Friday, but we will not be providing free lifejackets this year.

Department Policies Cancellations/Withdrawals Refunds are only issued if the Recreation Department cancels the class or program due to low enrollment, weather, or for other reasons as they might arise. In the circ*mstance that the Recreation Department cancels, full refunds will be issued in the form of a household account credit or a check from the Town. Please note that our registration system does not save credit card information and so we are unable to refund credit cards. Please allow 2-4 weeks for refund checks to be processed. You must respond to the cancellation email in writing with your choice of repayment within 5 business days, or your refund will automatically be issued as an account credit and may not be reversed. For all registrant initiated cancellations/withdrawals, the admin fee shall be $10.00 for programs under $99.00 or $15.00 for programs $100.00-$199.00 and $20 for programs more than $200.00. Please note that refunds of $50.00 or less will be applied to household credit only. In the case of a medical withdrawal for injury or serious illness, a written request must be submitted to the department accompanied by a doctor’s note. A refund, minus a 10% admin fee, will be issued in the form of household credit. If the cost of the program was over $100, a refund via Town check may be issued upon request. If you choose to withdraw after registration for personal preference or scheduling reasons, a refund will not be given. Classes are non-transferable. Additional refund policies specific to a program or class may be in place at the time of registration and will be noted in the program description on our website. Weather or Emergency Cancellations We try to plan one makeup date at the conclusion of program sessions in case of inclement weather. We will do our best to make up any missed sessions, but this cannot be guaranteed. Refunds will not be issued for missed dates or dates that could not be made up. Missed Classes Refunds or partial refunds will not be issued for missed classes/program dates due to illness (please see above for medical policy), vacations or other personal scheduling conflicts. Your fee is based on enrollment, not attendance. If you know you or your child(ren) will be absent, please contact the office to let us know. Wait Lists If a program is full, you may join the wait list at any time. You will not be charged for the program unless a spot opens and you are contacted by the Recreation Department to formally register. If you are added to a wait list and an opening becomes available, we will automatically contact the first person on the list. If you receive a wait list email or phone call, you must respond within 24 hours to register for the program, and can make a payment at that time. After 24 hours, the next person on the list will be contacted, and we will move down the list until the spot has been filled. Program Transfers You may request to transfer into another program if: • The request is made before the second meeting/day of the class or program. • If there is space available on the roster for the class you are looking to transfer into. • If the minimum number of participants is still met for the class you are currently enrolled in. A $10 transfer fee is applied to all transfers. If the cost of the program you are transferring into is higher than the original, you will also be required to pay the difference. Pro-Rating Classes and programs run based on minimum enrollment. In an effort avoid program cancellations due to low enrollment, we ask that you consider your schedule prior to registering for a program. If you are registering for a program regardless of whether or not you can attend all scheduled sessions, you will be charged the full registration fee. Pro-rated refunds will not be issued. You may be able to register for a program if 2 or fewer dates have passed and there is still space available. Accessibility The Shrewsbury Recreation Department aims to offer programming that is accessible to all community members. If you or your family member(s) may require additional support or modifications to be successful in programs, please reach out to our Director, Laurel Rossiter at [emailprotected].

We are excited for you to join us for another fun and exciting summer! Summer ‘23 Scrap Book
